We are excited to be looking for an experienced Medical Secretary who will to support a busy Orthopaedic consultants based in North West London.

To be able to provide comprehensive secretarial services and administrative support to clinicians and their associated staff, following all relevant operational policies, procedures and work practices, to ensure the timely processing of all patient related information, including clinic letters, reports, referrals, appointments, admissions, invoices, payments, general enquiries etc

Time management skills, detail orientated and being able to work on own initiative as well as a team player are some of the key requirements needed. As well as good written and oral communications.

Role Summary

Provide comprehensive secretarial services and administrative support to clinicians and their associated staff, following all relevant operational policies, procedures and work practices, to ensure the timely processing of all patient related information, including clinic letters, reports, referrals, appointments, admissions, invoices, payments, general enquiries etc. The list of duties below cover the full medical secretarial role, however different practices within the Hospital may not require all of the responsibilities below depending on how the consultant has decided to set up their
practice.

  • Organise and plan own time, prioritising workload to ensure that all service requirements and priorities are met.
  • Maintain the electronic diaries of clinicians, organising meetings, study leave, annual leave, etc, using appropriate technology.
  • Oversee clinic lists, ensuring that clinics are cancelled when consultants are not available, seeking agreement from clinicians to make amendments to clinic lists (i.e. cancelling and overbooking patients) and amending clinician’s rotas where appropriate.
  • Prepare necessary documentation for consultant’s clinics.
  • Check and verify theatre lists where appropriate.
  • Type and prepare all clinical letters to be sent to patients and associated clinicians involved in the patients care.
  • Deal with queries from service users including patients and their representatives, in a manner that is consistent with legislation, policies and procedures whilst demonstrating understanding, empathy and discretion, taking accurate written messages and passing more complex queries to relevant staff members where appropriate.
  • Deal with complex incoming post/faxes bringing information to the attention of clinicians and processing as directed.
  • Organise and oversee the arrangements for chasing investigation reports, and bringing the results of key importance or abnormality to the relevant clinician.
  • Organising the processing of investigation results of key importance or abnormality in accordance with clinician’s instructions and the filing of reports in case notes in a timely manner.
  • Organise and oversee the referral of patients to other departments for further
    treatment/investigations/appointments/domiciliary visits in accordance with clinician’s instructions.
  • Management and preparation of accounts, ensuring they reflect an accurate representation of consultation / treatment undertaken. This would include account receivables and payables.
  • Deal with outstanding invoices for patients, insurers or third parties to ensure a prompt payment. Work to solve any discrepancies/anomalies.
  • Be proactive in the development of administrative services to support clinical activity and assist in the continuous assessment and review of administrative working practices and procedures.
  • Assist in the promotion of a healthy, safe and secure working environment Assist the manager in ensuring that appropriate resources are available within the work area e.g. stationery stocks, equipment etc.
  • To be familiar with the Hospitals medical records system.
  • To have a sound knowledge in the Hospital computer system and any other applicable applications, working within the guidelines & instructions for inputting & retrieving information.
  • Any other ad-hoc duties as and when required in line with operational and service needs. Reduce sickness absence; work place accidents; and promote zero tolerance on violence against staff
  • Take responsibility for personal development and education and the development of a Personal Development Plan.

Key Requirements

AMSPAR Advance Diploma for Medical Secretaries Level 3 qualification or equivalent

Typing at RSA II or equivalent

Substantive secretarial experience working within the healthcare environment

Excellent communication skills written and oral

Demonstrable knowledge of efficient time management skills

Demonstrable experience of using audio transcription systems

Demonstrable experience of managing consultants accounts

Demonstrable knowledge of private medical insurers
